Contexte Context

This major update brings a redesign of projects and sales with the brand new sales orders section. As announced in our ALIX July 2022 newsletter, projects are now considered operations management entities to contain cards and sales are encapsulated in a sales order that can be linked to a project.

✯ Main Menu Modifications
  1. Some changes have been made to accommodate the new sales orders section:
    1. Move items to the main menu to the right of home.

    2. Added a new Sales menu containing sales orders, invoincing, and sales price lists.

    3. Moved projects to the planning section with the list of cards.
✯ Sales Orders
  1. The new section had already been in BETA for some time and is now officially available. 
      The sales order grid
  1. First, there is a grid with the list of sales orders with their sequential number starting with SO-######. Different statuses are available to quickly find the actions to take on your sales orders.
  2. To create a new sales order, you need to press the yellow button at the top right.
  3. To delete an order from the grid, you need to select the order to delete and the action menu will appear above the grid:

  1. In the sales order form, the information is presented in a condensed and efficient way.
  2. At the top right of a sales order, several actions are available to you. Here is the description from left to right:
    1. PDF view: Allows you to have a view before printing or generating a PDF. Some options such as the choice of language of the document are also in this section.
    2. PDF button: Allows you to download a PDF directly.
    3. Printer button: Starts printing the command in your browser.
    4. Email button: Allows you to send from ALIX the sales order in PDF to your customer by email. The configuration must be enabled first for this to be possible:

    5. Edit: Allows you to edit the sales order.
    6. Close (and other change status button): This button is used to change the status of the sales order in its next logical step. One or more additional status changes are available in the "More Actions" menu such as "Hold" or "Cancel".
    7. Duplicate: Allows you to start from an old sales order to start a new one.
  4. If you select a sales order line when the command is in display mode, you will have the following actions on the lines. These are the same actions that were available before in the sales section of the projects. Here is the description from left to right:

    1. Reserve: Allows you to reserve inventory on the sales line.
    2. Auto reserve: Eruns the automatic booking routine that reserves inventory if available, otherwise generates production or inventory to be ordered.
    3. Assign to shipment: Allows you to associate a shipment with the lines of the order.
    4. Add an invoice: Allows you to invoice order lines on a new or existing invoice.
  5. In the bottom section of the sales order, you will find the totals section and a section to attach documents to the order:

  1. When the sales order is editing or creating, the possible actions are different.
  2. In the left section you have the factory responsible for the order as well as the delivery and billing information. Now the addresses are saved by order which will allow you to enter a unique address for a specific order without creating a new address in your customer each time. In addition, if you change your addresses in your client, it will not impact the orders already created. Please note that the customer cannot be changed once the order is created for reasons of transactional integrity.

  3. In the lines section of the sales order, you can add new items to the order with the Add button and add visual separators to the document by adding groups.
  4. Using the icon to the left of the description, you can reorder the sales order lines as you wish.

  5. By selecting command lines, you can either make a mass change or delete those lines.
✯ Projects Simplification
  1. The projects are now divided into four main types: Standard, Sales, Manufacturing and Template:

    1. "Standard" projects are the most permissive and are used for cases that cannot correspond to other types. They can be linked to multiple sales orders at once.
    2. "Sales" projects are linked one-for-one with a sales order. To be used when a sales order requires cards for service or production directly. Its status is linked to the sales order.
    3. "Manufacturing" projects exist to manage the cards dedicated to producing inventory. They cannot be linked to any sales order.
    4. The "Template" projects already existed, but were managed with project status. This type is used to contain map templates that can then be reusedin projects.
  2. All the features specific to projects and cards have remained the same such as "White label printing", "Adding item to the board", etc.
